Introductions

In a one-on-one writing consultation, the most common thing—hands down—for me to discuss with a student is the effectiveness of an introduction. Masters or PhD, humanities or sciences, native or non-native speaker of English, it doesn’t matter. Most draft writing comes with introductions that are inadequate to the task. Which is why I am grateful to John Swales for his essential Creating a Research Space (CARS) model. His model consists of three moves: establishing a research territory; establishing a niche; and occupying the niche.

While I value Swales’s insightful and durable model, I have never particularly warmed to the language he uses. I find it a bit removed from the language that we naturally employ when talking about our research; for me, it seems useful to use more hospitable language, language that reflects the instinctive way we talk about our research. I very much like the way that Booth, Colomb, and Williams talk about the moves of the introduction; indeed, as I have said before, I generally like the way that they talk about all parts of the research process.  Their introduction model also has three stages: a common ground, a problem, and a response. Although I generally like their wording, I’ve moved away from using the phrase ‘common ground’. I find students sometimes interpret common ground as requiring an actual consensus rather than just an established context (which may, of course, be highly fractious). To avoid this misunderstanding, I find it easier to use the word ‘context’ to characterize the opening of an introduction.

Drawing on these two sources, here is the way I present introductions:

1. Context: What your audience will need to know in order to understand the problem you are going to confront. This background material will be familiar rather than novel to your target audience; it may act as a refresher or even a primer, but will not cover new ground. I usually suggest that students try to form a template sentence that they can then use as a prompt to help them sketch out each of the three moves. For instance, “Over the past two decades, research in this field has focused on … ”.

2. Problem (and Significance): What isn’t yet well understood. That is, the problem statement will explain what you want to understand (or reveal or explain or explore or reinterpret or contest) and why it will matter to have done so. For instance, “However, [topic] is still poorly understood (or under-examined or excluded or misinterpreted). This lack of attention is significant because knowing [about this topic] will provide a benefit OR not knowing [about this topic] will incur a cost”.

Given the importance of establishing significance and given the frequency with which this step is neglected, I have often wondered about framing it as a separate step. I haven’t done so, for two reasons. First, the three moves are so well established; it seems needlessly confusing to disrupt that familiarity by talking about four moves. Second, and more important, the problem and significance are genuinely connected; it doesn’t make sense to treat the problem and significance separately, even if doing so would encourage us to pay more attention to the significance. The significance is requisite for the problem, not separate from it.

3. Response: What you are actually going to do in your research. For instance, “In order to address this problem, I will …”.

The beauty of this basic model is, of course, that it makes a great deal of intuitive sense. When students hear it for the first time, they generally feel an immediate sense of familiarity. That intuition doesn’t, however, necessarily make it easy for them to deploy it in their own writing. I focus on four things about this model that may help writers deepen their understanding and thus be better able to use these moves proficiently.

The way it encourages us to take the perspective of the reader. These three moves tell readers what they need to know; having these needs met will then motivate them to continue reading. Our natural inclination is often to express our research as a by-product of our own thinking process. These three moves remind us to disrupt that inclination: instead of telling a story about the twists and turns of our research process, we need to tell the story about our research that the reader needs to hear. Take the example of context. As writers, we often struggle to define the correct amount of context to provide; if we approach this question from the perspective of the reader we are more likely to provide the right amount of context. The reader needs enough to appreciate the topic but doesn’t want us to take them through all the contextualizing information we have at our disposal.

The way it forces us to express the significance of the problem. The significance is generally the least apparent thing to the reader and yet is often the most neglected by the writer. The key here is to remember that the significance needs to be connected to one’s own discourse community. Some novice writers suffer from the sense that there isn’t much significance to their research because they are looking for significance in an unduly broad sense. Remembering that the current work needs to be valuable in the narrower context of the existing work in the field—responding to it, extending it, altering the way it may be done in the future—can help us to craft a clear and credible statement of significance.

The way its explicit breakdown shows us what may still be underdeveloped. By breaking down the introductory passages into distinct parts, this model helps us to see what is already there and what still needs to be addressed. It is very common, for instance, for writers to have a clearly articulated response but a confusing context and weakly expressed problem. For those writers, the response is what they have right, but they don’t yet know how to provide the necessary preceding information. Making the breakdown explicit can help us see what we still need to develop.

The way its scalability helps us to see how we must repeat and reinforce our key issues. Once these three moves are clear to you, you will see them—writ small or writ large—throughout your text. Take the literature review, for instance. Understood as a deeper iteration of the context, we are better able to understand what the work of reviewing the literature means. And we will grasp more easily that a literature review needs to be repeatedly connected to the problem that will be articulated in its wake.

These general observations can help writers to understand the three moves as central to our overall project of connecting our research to our intended audience. I’m out of space for today, but I will return to this topic soon. In particular, I will focus on this notion of scalability in a post devoted specifically to thesis introductions. Given the length of thesis introductions, the three moves have to be used in such a way that the reader doesn’t drown in an initial sea of detail.

2012 in Review

Happy New Year! I’ll be back with a new post next week, but in the meantime here is a quick overview of 2012. The nice people at WordPress gave me a very pretty year-in-review page that is probably of interest to me alone: how many people looked at various posts; how they got there; and where they were from. But you—especially if you are new to reading this blog—may be interested in a quick recap of what we talked about last year.

Last year started with a bunch of posts on comma use: commas to punctuate for lengthpairs of commas to signal unambiguously that the sentence is being interrupted; and commas in relative clauses, a perennial topic of writing consternation. Apparently these three posts really took it out of me; I have yet to return to the topic of commas, despite the fact that I had promised two additional posts on commas! I’ll have to revisit this issue in 2013.

As always, I talked a lot about the editing process: letting go of ‘perfectly good writing’; deciding what to do when you have deviated from your own best laid plans; managing the perils of local cohesion; satisfying the reader’s desire for a one-way trip through your writing; and engaging in rough editing to bridge the gap between drafting and editing.

I took a break from writing about writing to reflect on my very own blog; in light of an article about the benefit of multi-authored blogs, I argued for the value of a single-authored blog.

During the summer, I did a podcast interview with GradHacker, in which we touched upon a lot of the issues central to this blog.

Over the course of the year, I looked at lots of general writing issues: the value of the injunction to put it in your own words; the pernicious impact a fear of error can have on the writing process; the way a reverse outline can help to structure a literature review; and the strengths and weaknesses of building a text through cut-and-paste.

Academic Writing Month provided the opportunity for lots of great reflections on the writing process; once it was over, I wrote about my own experience and the importance of reflecting on our own writing practices.

At the end of the year, I was interested in how graduate students ought to orient themselves towards dominant writing practices. Is graduate writing self-expression or adherence to form? And how should graduate students orient themselves towards established style conventions? I’m fascinated by this topic, so I’m sure I’ll return to it over the coming year.

Style Conventions and Graduate Student Writing

I recently wrote a post about the tension between expressiveness and adherence to form in academic writing. By adherence to form, I meant following established genre conventions. But there is another level of adherence to form that I didn’t consider in that post: adherence to a particular form of grammatical correctness. As everyone knows, grammatical correctness is much more complex than it might initially seem. There are so many ‘rules’ that are actually apocryphal or at least highly contested by language experts. That awareness, however, can actually complicate my attempts to teach academic writing to graduate students. Graduate students are—in so many ways—standing in an odd space between student and professional. As students-aspiring-to-be-professionals, graduate students must face a unique challenge as they try to develop their academic writing skill while avoiding confrontation with the linguistic bugaboos of their audience.

My dilemma is that my own inclination towards descriptivism isn’t necessarily relevant to my teaching. There is a crucial difference between how I wish people thought and how I suggest people write given how people actually think. In other words, as much as I dislike a grammar hammer approach, I do think that graduate students ought to avoid aggravating their readers. For most graduate students, assuming a critical reader is a good idea. Even if our future reader has only one bête noire and is quite liberal about other usage matters, we generally can’t know that in advance. Split infinitives are an easy example. Despite there being no good reason to avoid them, I often suggest that students do so. In the first place, I do think that there is often a genuine benefit to thinking about modifiers placement: there is often a better place for the modifier or even a better way to word the sentence overall. But there are some split infinitives that are absolutely fine and yet I still suggest rewording to avoid aggravating those who believe this to be a real and important rule. My general practice is to make students aware of traditional ‘rules’ and to emphasize that people who care about those rules often care a lot.

Let’s consider a trickier example. How do you feel about using ‘they’ or ‘their’ or ‘them’ with grammatically singular antecedents? Is it acceptable to say, “Everyone should be able to eat their favourite treats over the holidays”? ‘Everyone’ is grammatically singular (so should be replaced by ‘he’ or ‘she’), but actually points to a group of individuals of indeterminate gender. Although many think of the singular ‘they’ as a recent response to our desire for gender neutrality, this usage is actually quite venerable. This post by Geoffrey Pullum does an excellent job arguing for the value of this usage and, more generally, for the value of basing our linguistic decisions on evidence rather than dogma. The Motivated Grammar blog has a comprehensive post explaining all the ways that a singular ‘they’ is acceptable. Despite the manifest good sense of these arguments, I feel that it is my job to point out to graduate students that some will take an ‘everyone/their’ pairing as evidence that they are unable to write correct English.

A closely related issue that frequently affects me in this blog is the need for an appropriate pronoun for a generic singular. I often write a version of the following sentence: “When a student brings me their writing …”. I intuitively write the sentence that way every time, before changing it to “When students bring me their writing …”. I never seem to use the plural form of ‘student’ the first time, presumably because I am thinking of a generic student. Students don’t come to my office en masse, they come one at a time. When I talk about those meetings, I naturally gravitate towards a generic singular: not a particular student, but a singular instance of student. The plural is grammatically correct and solves the gender neutrality problem yet feels inaccurate.

In this instance, I am simultaneously drawn in two directions: on the one hand, I feel that I should be liberal with the singular ‘they’ because I think it is acceptable, useful, and inevitable. Maybe I should be using it to hasten (in a very small way) its widespread acceptance. On the other hand, it isn’t particularly accepted at the moment and I don’t want my stylistic choices here on the blog to mislead. I feel it is my responsibility—despite my interest in descriptivism and my own faith in its wisdom—to remind students that their audience may have a decidedly prescriptivist bent. Those self-styled traditionalists seem to live on a razor’s edge, always ready to be driven around the bend by relatively benign stylistic choices or instances of neglect. Nobody wants a grant application or thesis proposal to antagonize its intended audience. Effective prose is prose that is well received by its audience. Without being able to call ahead and ask our potential readership how they feel about split infinitives, we have to make up our own minds, using all the information available to us and probably erring on the side of caution. (Erin Brenner has a great post on making sure that our ‘careful usage’ is still informed by all the available sources. Being cautious isn’t the same thing as being superstitious—you need to look things up! I also recommend this lovely post from Lucy Ferriss in which she describes how she is relinquishing the role of linguistic gatekeeper as she marks her students’ writing.)

Overall, I want to balance my own distaste for heavy-handed linguistic fundamentalism with a need to provide students with a good sense of current style conventions. But even as I think about that balance, I have to allow how disinclined I am towards the disparagement of other people’s writing. Someone recently sent me to the “Blog” of “Unnecessary” Quotation Marks, and as much as I tried to be amused, I found myself increasingly annoyed. Of course, quotation marks should ‘not’ be used for emphasis: doing so will lead to unintentional hilarity and that is never the effect graduate students should aspire to. (Or it will make people think you are writing for Zagat; if you want to see that tendency manifest in the most amusing fashion, try this old Shouts & Murmurs piece by Noah Baumbach.) But most of these utterances actually make their meaning quite clear. So I’ll end with a tentative conclusion: graduate student writers should be attentive to conservative writing conventions to avoid making stylistic choices that might aggravate their audience. But nobody should make a habit of deriding language that has made its point. “Fresh” meat may sound deeply unappetizing to a discerning reader, but we do know what is meant. “To boldly go” makes its point unambiguously. “If you love somebody, set them free” is perfect. Be cautious in your academic writing, but still strive for joy in language rather than fear of error.

One-Way Trip

When talking with students, I often refer to certain aspects of their writing as U-turn signs: vague pronoun reference; unclear use of ordinals; failure to consistently use core terminology; withholding a verb till the very end of a sentence; listing without alerting the reader that you are doing so; relying heavily on devices such as ‘aforementioned’, ‘former/latter’, or ‘respectively’. All of these practices can send readers backwards, denying them their best chance at a one-way trip through your writing. I have talked about many of these specific issues in the blog, but today I want to talk about this issue more broadly. Underlying this particular critique of student writing is the assumption that readers are entitled to a one-way trip through a piece of writing. And, honestly, as far as oversimplifications go, I’m pretty comfortable with this one. It is generally desirable for writers to take responsibility for the fate of their readers. Most students are happy to leave it at that and to devote their attention to concrete strategies that may help to create a unidirectional flow in their writing. However, there are also some students who are genuinely suspicious of my assumption that the author is responsible for creating this one-way trip. Since our assumptions about academic writing have both disciplinary and cultural roots, I find it useful to spend a bit of time discussing these issues when they arise in the writing classroom.

I usually begin this conversation by emphasizing how some writing habits act as U-turn signs for no possible purpose. A weakly edited document is just a weakly edited document. Unclear pronoun reference is the easiest example; if readers have to back up and figure out what ‘this’ or ‘it’ refers to, you are wasting their time. Students will sometimes respond to my queries about pronoun reference by saying ‘I think it is sufficiently clear what I am referring to and I think my reader will understand’. My response is that we cannot rely on the reader to make those connections; it is our job to make those references explicit.

That sounds simple enough, right? It’s the author’s job to write clearly and coherently. But what then is the reader’s job? We all experience academic reading as challenging, and none of us imagine that the writer ought to have taken all of our burdens away. We usually imagine that the writer could have relieved some of those burdens, but we accept that some of the work lies with us. Given the work that we know is done by readers, it is hard to view writing as simply a solitary act of creating meaning. An academic text is, in at least some sense, co-created.

Novice academic writers need to be alerted to the existence of variable expectations about the responsibility for meaning. For a writer, believing that your job ends in a different place than your readers think it ends leads to a problematic mismatch. Thinking about the difference between an authoritative and collaborative model of meaning can help all of us figure out the appropriate construction of our texts. In particular, thinking about this difference can help new doctoral students to be aware of the disciplinary and cultural contexts in which they write.

Lastly, for a more philosophical take on this issue, I highly recommend an article that James Miller wrote in the now-defunct Lingua Franca magazine (not to be confused with the Lingua Franca blog mentioned above). This article, with the delightful title ‘Is Bad Writing Necessary?’, is one of my favourite bits of writing about academic writing. It was written twelve years ago (making me suddenly feel very old!), but the link has so far proved very durable. In the piece, Miller discusses Orwell, Adorno, and the politics of being clear in our writing in a way that is both lucid and thought-provoking. My own thinking about the responsibility to be clear in academic writing has been deeply influenced by the way Miller frames this debate.

Audience and Anxiety

While writing a recent post on signposting and metadiscourse, I experienced a bout of writers’ anxiety that nearly derailed the whole post. Writing this blog is, of course, a source of some anxiety; it is hard to avoid feeling self-conscious about writing while simultaneously telling others how to do it. In many ways it is easier to talk about writing in the classroom because nobody can evaluate your own writing at the exact same time that you are holding forth on good writing. Although there was this one time that someone accessed my dissertation online during a class on thesis writing. And then announced to everyone that he had done so! I carried on teaching, but I was seriously unnerved and totally convinced that I could see a ‘gotcha’ look in his eye the whole time.

So, there is a root anxiety present every time I hit the ‘Publish’ button. In fact, I think it is a bit unfortunate that WordPress gave the button such an intimidating name. What’s wrong with the friendly ‘Share’ button used by Facebook or the silly-but-not-intimidating ‘Tweet’ button? Every time I have to hit ‘Publish’, I mutter ‘publish-ish’ to myself as a comforting reminder of the limitations of this endeavour. But since this is, after all, a blog about writing, I thought I should use this space to reflect a little on working through writing anxieties.

I have talked frequently in this blog about the importance of audience, but I haven’t talked about the anxiety of audience. My emphasis on audience awareness as a way of strengthening writing may obscure the way that acknowledging an audience can complicate the writing process. Thinking about audience means imagining that someone will actually read our writing—not always a welcome thought. The anxiety caused by writing is the anxiety that putting something down in black and white will allow our  audience to find out the various ways in which we are inadequate. We fear that the reader will dislike the current piece of writing and thus, by extension, see us in a less favourable light. The reticence that this anxiety creates can be pernicious for two reasons. At a simple level, writing less undermines our ability to write well. Anything that inhibits our writing will put us in a potentially vicious cycle since more writing is a necessary, if not sufficient, strategy for improving our writing. At a deeper level, shielding our ideas from criticism only guarantees that we won’t improve those ideas; allowing our ideas to take shape on the page and then allowing others to see them is the only way we can establish if they are worthwhile.

Sometimes the best way to get through writing anxiety is to trust our eventual readers to let us know where we’ve gone wrong. We tend to imagine a dissatisfied reader as someone who scoffs and vows never to bother with us again; more often than not, if we are serious about what we are saying, dissatisfied readers will actually come back to us with ways to rethink, rework, and improve. Not every reader we encounter will be this ideal charitable reader, but it is still legitimate to use that reader as the target audience. The value of the imaginary charitable reader is that such a reader could come back to us with grounded concerns about problems in the text and not just disdain. You may disagree with what I said about metadiscourse, but I have to trust that you’ll explain those disagreements rather than just dismissing me out of hand.

In short, we may be able to lessen our anxiety by re-imagining our relationship with our reader as less adversarial and more constructive. The constructive reader may have lots of criticisms, but those criticisms will be grounded in the text and, as such, will not call into question our overall worthiness. Imagining this ideal reader is one way that we can help ourselves think about audience without succumbing to the attendant anxiety.

Signposting and Metadiscourse

When I recently asked for ideas for future posts, many people suggested one on metadiscourse. This topic certainly needs addressing, but I have been dragging my feet about doing so. And the reason for this reluctance is simple: I find metadiscourse difficult to teach. The great thing about writing this blog is that I have now had to think about why I find it a hard topic to teach. What I have realized is that I struggle because I am using both a simple and a more complex understanding of metadiscourse. Let me begin by explaining these two ways of looking at metadiscourse.

First, the simple version: metadiscourse is often presented as the writing that we do about our writing, rather than about our topic. I find this definition to be simultaneously useful and limited. It is useful because it makes intuitive sense and because it highlights the crucial—and often neglected—task of explicitly guiding the reader through a piece of writing. It is limited because it overlooks all the other things that we do as writers to help our readers understand and accept our ideas. This brings us to the more complex understanding of metadiscourse: the linguistic strategies that we use to manage the evolving relationship between writer, reader, and text. In the words of Hyland and Tse (2004), metadiscourse is “the range of devices writers use to explicitly organize their texts, engage readers, and signal their attitudes to both their material and their audience”. I love this definition because it offers a valuable description of what we can accomplish through our writing choices; I think all writers benefit from thinking of writing in this multifaceted way. But as a teacher, I also value the conceptual clarity of dividing writing about writing, on the one hand, from writing about the topic, on the other. Essentially, an unsophisticated understanding of metadiscourse ends up being, for me, a valuable teaching strategy.

For the purposes of this post, I am going to follow my classroom practice and call this writing about writing, ‘signposting’, and I am going to call the more subtle devices that we use to structure the three-way relationship between text, reader, and writing, ‘metadiscourse’. According to this breakdown, signposting is, of course, a form of metadiscourse. (Other key forms of metadiscourse: making transitions between ideas; providing evidence for claims; offering elaborations of key points; managing different degrees of certainty; signalling authorial attitudes; seeking to engage the audience; and introducing an explicit authorial presence. These forms, taken from Hyland and Tse, overlap with one another and with what I am calling signposting. I will devote a later post to discussing all of this in more detail.) The reason I like to pull signposting out and treat it separately is the tendency of novice academic writers to neglect it. In the student writing I encounter, metadiscourse is generally already there—and just needs to be better understood so as to be used more effectively—while signposting generally needs to be increased.

It is very common for me to say something like this to a student in a one-on-one session: ‘You have introduced your topic, but you have not introduced your paper.’ In other words, the reader knows what the paper is about, but not how the paper itself will proceed. The interesting thing for me is that this is an area in which I find some students are actually quite reluctant to follow my advice, either out of their own inclination or because they believe that their advisor is against that sort of writing. My approach in these cases is to acknowledge the way that signposting can make writing appear laboured and then suggest that they try it, at least provisionally. If they really hate it, they can always take it out later. There is a real benefit to using signposts, even as a kind of scaffold: the very act of writing such phrases—for example, ‘In this paper, I will’ and ‘After a discussion of x, I will turn to y’ and ‘This paper will be divided into four sections’—gives clarity to the writer as well as to the reader. If you are one of those people who really dislikes the way that sort of writing sounds—I confess that I don’t see the problem, but my own writing tends to be somewhat pedestrian—you can remove it later or, even better, turn it into something that sounds more sophisticated. As your understanding of your own writing deepens, it is often quite easy to move from ‘In the first section, I will discuss X’ to ‘Given the centrality of X to any treatment of Y, this paper will begin by demonstrating the internal complexity of X within the context of Z’. Even this highly generic example suggests how we can use signposting (‘this paper will begin’) within sentences that also serve to deepen the reader’s understanding of the topic.

One final point for today: the central idea behind signposting is that the reader needs to know how your text will be structured. In those cases in which the reader doesn’t need to know, signposting will obviously be unnecessary. I can think of two such cases: one, a really short text in which the reader will know what’s what soon enough; and, two, a text with a completely predictable structure. Sometimes a student, in a laudable attempt at clarity, will end the introduction of an IMRAD-style paper with something like this: ‘The method section will discuss the method. Then the results will be discussed. Finally, concluding remarks will be given in the discussion section.’ Since the reader already understands the form that the author is using, they don’t need that information. You can usually tell that you don’t need to be providing structural hints of this sort when you find that you are writing redundant-sounding sentences like these.

This post has just been a general introduction to the idea of signposting and metadiscourse. In a future post, I will look in detail at the various forms of metadiscourse. I also hope to write a separate post on the related question of using  the first person in academic writing. In the meantime, please raise any questions or confusions below.

Structural Lists

If you can stand it, I am going to talk about using lists one more time. (Then I’m going to stop before I have to relaunch this blog as Explorations of Lists.) As I said in the first post on lists, they are an inevitable by-product of the complexity of academic material. Consider this example, which we have seen before, of a simple list:

Today’s educational leaders must  face increasing demands for public accountability, work long hours to improve student achievement, provide instructional leadership, demonstrate moral leadership, exercise fiscal prudence, support their staff, and navigate a litigious environment while facing low teacher morale.

After reading that passage, my expectation would be that these seven points will not be important in what follows. That is, the author wanted the audience to know a bunch of things about educational leaders but isn’t planning to devote any more time to those individual points. You can easily imagine that the next sentence would build on the overall point of the previous one without dealing in the specifics (for example, ‘Given the complexity of this role, educational leaders often …’).

Lists, however, aren’t just ways of describing detailed material. They can also be ways of structuring our writing. That is, lists can do more than just list stuff; lists can also establish crucial information that will be used to structure later parts of the text. The key to these ‘structural lists’ is that the reader is getting useful guidance on how to read the text. Contrast these four (deliberately simplified) lists:

Blood is composed of erythrocytes, leucocytes, and blood platelets.
 
Blood is composed of three types of cells: erythrocytes, leucocytes, and blood platelets.
 
Blood is composed of three types of cells: one, erythrocytes; two, leucocytes; and, three, blood platelets.
 
This section discusses the three types of blood cells: one, erythrocytes; two, leucocytes; and, three, blood platelets.
 
In the first sentence, we see simple information about blood composition. We can’t tell, from this sentence alone, whether this is a passing reference or whether we are likely to hear more about these three components of blood. The second sentence places more emphasis on the fact that there are three types of cells; even if we don’t hear much more about each individual type, we may see further discussion of the fact that a tripartite division exists. The third sentence–with its use of numbering–is telling the reader to pay particular attention to these three things. If they are not discussed in what follows or if they are discussed in a different order, the reader will be disappointed. Incidentally, this sentence structure would also easily accommodate additional information; for instance, it would be easy to provide a definition, explanation, or example of each type. The fourth example goes beyond an implicit indication of the importance of the division; its use of metadiscourse tells the reader explicitly that this division into three types of cells will be used to organize the rest of the section. Generally, sentences like the fourth one are written retrospectively, during the editing process; when we are creating a first draft, we frequently discuss a series of things without necessarily grasping the internal structure. Once we start to revise and thus begin to perceive (or develop) that internal structure, we can add in useful structural lists that tell the reader what to expect.
 
Let me end by addressing one question that often arises in this context. Once you have created a structural list, you must be careful about creating sub-lists. In other words, once you have said that three things are coming, you must be very clear about any subsequent use of numbering. If the individual items on your first list can themselves be broken down into a number of parts, your readers need to be able to understand at all times which list they are in the midst of. Consider this generic example:
 
This issue has three key elements: X, Y, and Z. We will begin with a discussion of X. Scholarly research into X usually takes three distinct forms. First, X is seen as …. Second, X is seen as …. Third, X is seen as …. The second element of this issue is Y.
 
In this example, the final sentence is designed to tell readers that they are back in the main list. If, instead, this last sentence had begun with a ‘second’, it would have followed awkwardly on from the ‘third’ that immediately preceded it. In my experience, however, it is common for writers to neglect to tell readers whether they are reading an element of the broader list or a subpart of one of those elements of the broader list. Since creating lists, as I keep saying, is an inevitable and valuable feature of academic writing, we all need to be sure that we are making the divisions and subdivisions in our writing crystal clear to our readers.

Problem Sentences

Sentences come in many varieties: there are elegant sentences, workhorse sentences, clever sentences, short sentences, and long sentences. There are also problem sentences. You know the ones: you keep coming back to them and making changes without every being satisfied. In fact, after a while, you start to suspect that your newest changes are simply reinstating earlier versions of the sentence. This back-and-forth alone is significant; if you are alternating between two versions of a sentence without ever being happy with either, you need to do something dramatic. This need is intensified by the fact that these problem sentences are generally important sentences. I am generalizing, of course, but I am doing so with lots of evidence. The sentences that we use to convey key points are more likely to give us trouble, both because our investment in the topic can cloud our thinking and because our key points generally involve a complex array of information.

When you are confronted with such a sentence, my suggestion is to try what I call ‘blank-side-of-the-page writing’. Since sentences have this way of wearing a groove in our brains, we need strategies to help us get a fresh start. In one-on-one writing consultations, I often ask students to tell me what a challenging sentence is about. What they say is generally much stronger that what they have written. And stronger in two ways: more direct and less brief. You can see why direct is better, but you may be wondering why I am praising a lack of brevity. Indeed, most of us are less concise in writing than we ought to be, until we try to convey our key point; then, many of us become positively telegraphic. Forcing ourselves to devote more ink to our own ideas is a sure way to improve academic writing.

If you write down—on the blank side of the page—exactly what you come up with when you try to convey the key point to an imaginary interlocutor, you will have something new with which to work. Even if all you do is disrupt the pattern of futile revision, you will be ahead of where you were. But you may find that you do considerably more than that by forcing yourself to rearticulate a key point. Certainly, by inserting a potential reader into the process, you are immediately improving your chances of structuring your ideas in a way that will suit that reader.

It is hard to show an example of this technique since it requires an actual conversation (either between writer and writing instructor or between writer and herself/himself). But try it yourself and see whether it helps you. Here is how the process might work:

  1. Identify a sentence that has been giving you trouble. 
  2. Read it over, identifying its key ideas and thinking about the relationship between its parts.
  3. Turn over the page, so you can no longer see the original sentence.
  4. Imagine someone asking you what you were trying to say in the original sentence.
  5. Answer that question aloud and try to write down verbatim what you come up with. At this stage, be fulsome: take advantage of the fact that we tend to articulate things more fully in spoken language.
  6. Assess what you have come up with, remaining open to all possibilities (Should it be more than one sentence? Is it undermined by missing information? Does it appear at the correct point in the text?).
  7. Finally, edit it to be sure that it hasn’t retained any of the informal tone you many have introduced by transcribing a spoken version.

This strategy can help you get past an impasse with a particular sentence and can help you to push yourself to articulate your key ideas with more clarity and precision.

From the University of Venus blog, here is a post on the relationship between writing anxiety and graduate school. This post made me reconsider the proper balance between the demands of a coherent discourse community, on the one hand, and the writer’s own need for creative expression, on the other. I generally argue that the former is a source of productive limits, of limits that push us to be explicitly aware of our audience while writing. I believe that some of the anxiety of writing can stem from a lack of limits: being able to say whatever we want can sometimes stop us from saying anything at all. My response to the writing anxiety of graduate students is often to encourage them to use those disciplinary limitations to their advantage. Assuming a place within an ongoing conversation can feel more manageable than having to create something entirely new. But perhaps I should be more aware of those students for whom this insistence on form suggests a closing of possibilities in their writing. Teaching an activity such as writing requires one to establish what is true for most writers and what may be true only for some. Do you find the notion of joining a discourse community comforting or claustrophobic?

Here is some advice from The Chronicle of Higher Education on academic writing. This list of ten ways to write ‘less badly’ is full of interesting ideas; I particularly liked the author’s suggestion that when we are deeply engaged with our writing we may actually be quite inarticulate about what we are doing. One of my standard pieces of advice is to have an easy capsule version of a thesis project (because I think life is better when you can easily answer the ‘what are you working on’ question). But I love the idea that our frequent inarticulacy can come as a result of being immersed in the moving waters of an ongoing and engaging project.

Finally, here is a post from Stuff Academics Like: Can you spot the fake article title? I actually appreciate outlandish article titles, so I didn’t view this as an exercise in mockery. I should probably add that I appreciate these titles personally; officially, I always sound an appropriate note of caution about fancy titles. Be particularly wary of puns: an experienced journal editor in your field has heard them all before.

Last week, I posted a link to a brief discussion in The New Yorker about the inclusion of abbreviations (OMG), symbols (♥), and slang (muffin top) in the OED. I included it originally because I was amused at the predictable outrage.* But as I thought about it more, I began to feel that there was an important point to be made about usage and writing. Not only is the outrage based on a misunderstanding of the proper role of a dictionary, it also overlooks the importance of context for writing decisions. The dictionary doesn’t tell us what words are suitable in our writing; the inclusion of annoying usage in a dictionary has no real role to play in our usage decisions for formal writing. We have to decide what language is appropriate for our purposes and our audience, and our ability to make those decisions comes from having a sound grasp of the specific context in which we write.

This brief consideration of language outrage brings me to an post from the New York Times’ Schott’s Vocab blog by Robert Lane Greene. Drawing on his book You Are What You Speak, Greene discusses what language sticklers get wrong. I particularly liked his consideration of what he calls ‘declinism’: the view that language was better yesterday and will be worse tomorrow. His most interesting point concerns the role of mass literacy: “So a bigger proportion of Americans than ever before write sometimes, or even frequently, maybe daily…. A century ago, a nation of 310 million engaged with the written word on a daily basis was unthinkable. Now its uneven results are taken as proof by some that language skills are in decline. That is far from obvious.” Here is a review of Greene’s book, also from the New York Times. In this review, Geoffrey Nunberg provides an amusing summary of Greene’s critique of modern ‘declinism’: “We’ve passed from the thoughtful homilies of Fowler to the pithy dictums of Strunk and White to the operatic curmudgeonry of modern sticklers like Lynne Truss, whose gasps of horror at the sight of a misplaced apostrophe are a campy cover for self-congratulation.” I agree, and I love the irony of the sentiment: The written word may not be in decline, but the quality of the jeremiads is definitely slipping.

* I was also reminded about an article by Ben Yagoda that I discussed in an earlier post; Yagoda observes that student writers don’t generally use slang in their writing, preferring instead to use the vaguely elevated language that he calls ‘clunk’. The inclusion of slang in a reputable dictionary isn’t likely to cause an outcropping of informal academic writing. Novice writers may need help managing formality in their writing, but not because they are confused between their academic writing and their social media writing.
